Managing Cloud Sync Connections
Once Cloud Sync is set up, you can monitor and manage all of your team's WhatsApp connections from the Homepage. This guide covers how to check connection status, disconnect an account, and keep your syncs running smoothly.
Monitoring Your Connections
You can monitor all WhatsApp connections from the Homepage.
- Not connected means the WhatsApp account has not been connected yet, or has been disconnected. Click Start connection to begin.

- Ready to connect means the connection has been started and is waiting for the member to scan the QR code. Click Connect WhatsApp to open the QR code dialog.

- Connected means the WhatsApp account is actively syncing with Cooby.

- Reconnection required means the WhatsApp session has expired or been logged out. Click Connect WhatsApp and scan the QR code again to resume syncing.

- Sync limit reached means syncing has been paused because your workspace has reached its plan's sync limit. Click Upgrade to upgrade your plan, or contact your team admin for assistance.

- System error means the most recent sync request failed. Click Retry to sync again. If the error persists, please contact support.

Last Message Time shows when the team member last sent or received a WhatsApp message. It may display a dash right after connecting, and will start updating once the first message syncs.
Disconnecting a WhatsApp Account
If a team member leaves your organization or no longer needs Cloud Sync access
- Go to your Homepage.
- Find the team member in the WhatsApp connection table.
- Click the three-dot menu (⋮) next to their name.
- Select Disconnect and confirm.

Best Practices
- Regular monitoring. Check the Homepage weekly to ensure all team members remain connected
- Permissions. Ensure all team members have the appropriate CRM permissions to avoid sync errors
- Communication. Let your team know about Cloud Sync so they understand why their WhatsApp messages are being synced
