What is the Inbox Zero Method?

Coined by productivity expert Merlin Mann, Inbox Zero is an email management strategy aimed at keeping your inbox empty. Or as empty as possible, at all times.

The goal: triage your inbox quickly to reduce clutter and manage emails effectively.

The "Zero" in "Inbox Zero" doesn't refer to the number of emails in your inbox. It refers to "the amount of time an employee’s brain is in his inbox," according to Mann.

What's important about Inbox Zero isn't the method used to achieve it. But the end result.

No more anxiety about unread messages. Better time management. The freedom to work without distractions. Never miss important emails because of a cluttered inbox. Ever.

How to Inbox Zero?

Follow these steps and you’ll spend just minutes in your inbox instead of hours:

Inbox Tab

The Inbox Tab is where you can achieve Inbox Zero.

The actions Close, Snooze, Archive will all remove chats from the Inbox Tab.

Once you remove all chats in the Inbox Tab, you will achieve Inbox Zero.

Inbox Zero accumulates on a weekly basis (i.e. you can be on a N-week Inbox Zero streak).

Close

Closing a chat is how you mark chats as DONE.

When you finish replying to a chat, hit the close button and make the chat disappear.

When you receive a new message the chat WILL reappear (If you are seeing chats reappear, check your WhatsApp settings).

Tip: Use keyboard shortcuts Ctrl + C (Mac) or Alt + C (Windows) for quick access.

Closed chats can be found in the Closed Tab or the All Tab

Snooze

Snoozing a chat is equivalent to the Snooze action in email. Use this action if you need more time to reply to a chat.

When a chat is snoozed, it will disappear from your Inbox Tab.

If any of the following happens to this chat, the chat WILL reappear in your Inbox Tab:

  • Receive a new message

  • The snoozed time is up

  • You hit the Unsnooze button

Snoozed chats can be found in the Snoozed Tab or the All Tab

Archive

Archiving a chat is equivalent to the DELETE action in email. Use this action for noisy chats that do not add value to your work on WhatsApp (e.g. group chats that you don't need to have constant notifications).

When a chat is archived, it will disappear from your Inbox Tab.

When you receive a new message the chat WILL NOT reappear (If you are seeing chats reappear, check your WhatsApp settings).

Archived chats can be found in the Archived section in your chatlist or in the All Tab
