How Can a Sales Manager Track Team WhatsApp Follow-ups With AI?

Once you connect an AI assistant like Claude or ChatGPT to your Cooby workspace as an admin, you can see your whole team's WhatsApp follow-ups by asking one question, instead of pinging each rep to ask what's outstanding. You get team visibility without the manual roll-call.
The connection is read-only. Your AI can read chats and messages, contacts, and CRM links, but it can never send messages, log CRM activity, or change or delete anything. Team-level questions require the Admin role.

How does this help a sales manager?

The core value is that you stop chasing status one rep at a time. Instead of a round of "where are you on Acme?" messages, you ask your AI assistant once and see every rep's follow-ups together. That turns a scattered check-in into a single question you can ask before a pipeline review or on a Monday morning.
Here are the questions managers ask most, and what each one does. All of these require the Admin role.

You ask

What happens

"List my team members."

Returns every workspace member with their user ID and role.

"Show unreplied chats across the whole team from the last 48 hours."

Queries every member's chats in the time range, and each result shows whose chat it is.

"Pull this week's chats for Maria and Ken and flag at-risk deals."

Queries just those two reps and reasons over the results to surface risk.

"Show me Maria's conversation with Acme."

Reads one rep's specific chat (admins only).

Why is this better than a standard CRM report?

The value is that the assistant reasons over the conversation content, not just CRM fields. A traditional report can tell you a deal hasn't moved, but it can't tell you the customer went quiet after asking about pricing, because that context lives in the chat, not the CRM. Asking your AI to flag at-risk deals surfaces exactly that, across every rep, without anyone updating a status field.

Can I see the whole team at a glance?

Yes. Ask "Show me the team dashboard" or "How is my team doing this week?" and, if your AI client supports MCP Apps (Claude and ChatGPT do), you get a visual card with one row per rep instead of a wall of numbers. Each row shows total chats and how many are awaiting a reply as a bar chart, how many chats have been active in the last 7 days, and a last-activity indicator so quiet reps stand out at a glance. Use it as a Monday-morning read on where follow-ups are piling up and who needs a nudge. This view is admins only, like the underlying team data. If your client does not support MCP Apps, you get the same information as clean text instead.

Frequently Asked Questions

  1. Do I need to be an admin to see the whole team?

Yes. Members can read only their own chats, messages, and contacts. Listing workspace members, reading a specific rep's chats, and reading several members' or the whole team's chats all require the Admin role. A member who asks for someone else's data gets a permission error, no matter how the question is phrased.

  1. Can the AI send messages or change anything?

No. The connection is read-only. It can read team chats and messages, contacts, and CRM links, but it can never send messages, log CRM activity, or change or delete anything.

  1. Does this work in ChatGPT too, or only Claude?

It works in both, plus any other MCP-compatible client such as Cursor. The same questions and answers apply across clients.

  1. Which workspace can the AI see?

Only the one you authorized when you connected. Every request is scoped to a single workspace, and no tool parameter can widen it, so there is no way for an agent to reach another workspace's data.

  1. How do I see and revoke connected agents?

Go to your Cooby workspace, then Settings, then Connected AI agents. As an admin you see every agent connected across the workspace, with the owner shown per row, along with when each was connected and last used. Revoking cuts off that agent immediately, on its next request. Admins can revoke anyone's agents.
